Managing Account Identities

BlueMind lets you manage several identities for the same account, with a different wording, e-mail address and signature for each one, allowing you to personalize the sender and signature when writing messages.

It is possible to create identities from :

  • its default e-mail address or one of its aliases

  • the email address of a user or a shared mailbox.

    Necessary rights
    Mailox typeRequirements
UserDelegation granted by the user (or one of their authorized representatives)
    Shared mailboxDelegation given by administrator
Shared mailbox (old version)Write permissions granted by an administrator (or an authorized user)

    For further information see :

  • an external mail address

    Necessary rights

In order for a user to create an identity using an address outside BlueMind1, the administrator must assign them the "External Identity" role (see Mail roles).

Identities are managed in your mail settings. To modify and add identities, go to Preferences > Mail > Composing messages > Identities :

Creating an identity

A default identity is created on the user's main address. You can add as many identities as you like, for example, to write as the delegate of a user or a shared box, to write with one of your own email aliases, or to have several signatures for the same address.
It is also possible to choose the default identity, i.e. the identity that will be selected by default when a new email is created.

Click on "Create an identity" to open the creation form:

  • Email address: selects the mail address to be used as the sender of email messages.
Select from the list of suggested addresses (see above for roles and rights) :

    • Your own mail address: the default address for your user account, or one of its aliases.

💡 To make the list easier to read, aliases are hidden by default. Pour les afficher, cliquer sur "Afficher les alias" :

    • A user or mailbox address shared with delegation.
ℹ️ Choice of sent email folder

When an address of this type is selected, an additional option appears, allowing you to choose the folder to be used for storing sent emails:

      • leave the box ticked to use the folder of the selected box,
      • uncheck it to use the user's default folder.
    • An old-style shared mailbox address or group mailbox
    • An external address: enter the complete address and validate by clicking on the proposed address:

⚠️ This possibility can be prevented by those responsible for the installation - contact an administrator if necessary.
For further information see Mail roles.

  • Displayed name: the name that will appear in sent emails.

💡 To ensure that changes to the display name are secure whilst still allowing them, this field is not editable by default: click on in the field to customise the name:

  • Label: will not be visible to recipients; the label is used to distinguish the identity in the list, as the same address and username can be used in several identities.

  • Signature: create a signature in HTML format, with the option to insert images, logos, etc.
For further information see the page Adding a signature

  • Make this identity my default identity: if enabled, this identity will be automatically selected when composing new emails.

💡 This option does not appear for the identity already set as the default; this is identified as such in the box at the top left:

  • Click on "Add" to validate the creation.

Modifying or deleting an identity

All created identities are listed in order of creation.

  • The default identity is indicated by

  • Click on "Label" to sort identities in ascending or descending alphabetical order

  • Unfold an identity by clicking on '>' at the beginning of the row to see a preview of the associated signature.

  • Click on to modify one or more identity fields

  • Click on to delete the identity

    ⚠️ Default identity

The default identity cannot be deleted, so the button is grayed out.
To delete the signature currently set as default, edit another signature to set it as default, then delete the desired signature.

Using an identity

Once the identities have been created, the user can choose which e-mail address or signature will be used to send a message.

Footnotes

  1. Mail addresses for other domains in the system are considered external addresses. Also, assigning the "External identity" role (see Mail roles) to a user enables him, for example, to create an identity from the mail address of a member of another domain, and thus send emails in that user's name.
