Organising and searching for contacts

Sorting the contacts list

The contact list can be sorted according to your preferences or to find a specific contact by clicking on the current sort criterion at the top right of the contact list:

The available criteria are:

  • Full name: this is automatically generated by the system from the surname, first name and any prefixes, suffixes, alternative names and nicknames entered in the contact’s details.
  • First name
  • Name
  • Company: this field can be completed by administrators in the user details or in the contact record in the field provided for this purpose:
Independence and Persistence

The sort order is specific to the address book being viewed and is retained: each address book has its own sort order, which is retained even after the user exits the address book, the application, or even after logging out and back in.

Applying tags to contacts

To help you find contacts, you can add one or several tags to your contacts.

To do this, go to the contact edit screen (see Add contacts), and select the tag or tags from the list provided. As you type the first few letters of the desired tag, autocomplete will suggest matching terms as you type:

On-the-fly creation

If the tag does not exist, simply enter the text for the new tag and then click on ‘New tag’. Once the changes to the contact record have been saved, the new tag is added to the list of personal tags and can be managed via your account settings.
For further information see Manage tags.

To delete a tag, click on the cross in the corresponding box:

You can assign as many tags as you like.
Tags are visible below the name in the contacts list and in the contact’s details page:

For further information Regarding searching for contacts by tag, see the paragraph Searching by tags

Sharing and delegating

The delegate only accesses their own categories, i.e., domain categories and their personal categories. A delegate or user with write rights on les carnets d'adresses cannot therefore assign the delegator's personal categories to the contacts.

For further information on creating and managing tags, see see the section Manage tags.

By default, the search is carried out in the address book currently being viewed. To extend the search to another address book or to all address books, expand the menu next to the text box:

Number of results displayed

For efficiency, the number of results displayed is limited up to 75 contacts.

If there are more results, we recommend refining your search.

Quick search

The search engine allows you to search for contacts by keyword: enter a word and press Enter or click the button. The search engine will then display the results, highlighting the search term:

Scope of research

Search engine:

  • in the address books currently displayed, and in those only
  • across all fields in the contact profiles

Multi-criteria search

To carry out a more detailed search, click the button at the end of the search box to open the full search form:

The form allows you to specify or add search criteria: address books to search, keywords (name, domain name, contact details, etc.), tags, and contact type.

Search by tags

You can assign keywords to contacts: tags (see Manage tags).

To search for records associated with a tag, use the multi-criteria search engine (see above) or click on the corresponding box in the record of a contact to whom the tag is assigned:

💡 The relevant entries are then searched for in the address book currently being viewed; to search across all address books, select ‘All address books’ from the dedicated drop-down list (see above ).

For further information see the paragraph Applying tags to contacts.

Exit search

To exit the search, click on a different address book to the one currently selected or on the arrow at the start of the text box:
