Choosing the sender
BlueMind allows sending a message from different email addresses or with different signatures without changing the user account. To do this, simply display the "sender" field and select the desired identity.
For more information on creating e-mail identities, visit Managing Account Identities.
Selecting the identity
To display the sender field, select the "Show the "From" field" option in the "Others" menu.
It is also possible to display the "From" field permanently. For further information, visit Managing Account Identities, paragraph "Using an identity".
Then unfold the list to select an identity from those created in the Mail preferences.
Writing on behalf of a shared mailbox
Necessary rights
To send a message with the email address of a shared mailbox, you need to :
- have write permissions on the shared mailbox
- be subscribed (see Subscribing to a shared mailbox) to the shared mailbox
- create an identity with the shared mailbox's e-mail address (see Managing Account Identities)
Consequences for messages
-
The email sender corresponds to the "Display name" field of the identity
-
Sent messages can be stored in the "Sent Messages" folder of the user or the shared mailbox depending on the option chosen in the identity.
Writing as delegate
A user can nominate a delegate to send emails using his or her email address. The delegate can then be written by or on behalf of the delegating user.
Writing on behalf of a delegator
Necessary rights
To send an email as another user, you need to :
- be named as a delegate (see Managing delegations) by the delegating user with the "Write from me" option
- create an identity with the delegating user's e-mail address (see Managing Account Identities)
Optional :
- have read or write permissions on the delegating user's mailbox (not mandatory but strongly recommended)
- be a subscriber (see Subscribing to a shared mailbox) to the mailbox shared by the delegator, if applicable
Consequences for messages
- The sender of the email sent by the delegate corresponds to the name of the delegator, as written in the "Display name" field of the identity and also indicates the name of the delegate:
- Messages sent by the delegate are stored in the "Sent messages" folder of the delegating user or the delegate, depending on the permissions granted to him:
- if the delegate has no editing rights on the delegator's mailbox, sent messages are stored in the delegate's "Sent messages" folder.
- if the delegate has at least editing rights on the delegator's mailbox, sent messages can be stored in the delegate's or delegator's "Sent messages" folder, depending on the option selected in the identity
- The messages received by the delegating user are stored in its receiving box - including the answers to a message sent by a delegate. It is therefore recommended to give the delegate, at a minimum, read permissions on the delegating user's mailbox so that he can view messages and reply to them.
Writing as a delegator
Necessary rights
To send a message as another user, you must :
- be named delegate (see Managing delegations) by the delegating user with the "Write as me" option
- The sender of the email sent by the delegate corresponds to the name of the delegator, as written in the "Display name" field of the identity. The delegate's name is not displayed, so the recipient cannot see that the message has been sent by a delegate:
Writing with an external email address
Necessary rights
To send a message with an external address (e.g. a personal address), you must :
- the "External Identity" role (see Mail roles)
- create an identity with the external address (see Managing Account Identities)
Consequences for messages
-
The email sender corresponds to the "Display name" field of the identity
-
Sent messages are stored in the user's "Sent messages" folder.
